What a complete student file includes
The five things every file needs before it can be sent, the optional documents that strengthen it, and the details that most often send a file back.
A file that arrives incomplete comes back before it goes anywhere. On StudyInfo, a student file can only be submitted once every required item is in place, and our team checks each document before the file is forwarded. These are the items to prepare.
Student profile
Personal details, education history and the programme the student has chosen. The profile is the first page of the Student Application PDF, so it needs to match the documents behind it.
Passport
A clear copy of the photo page. It should be valid for the full length of study, because an expiring passport causes problems later in the visa process and is easy to miss early on.
Academic transcripts
Copies of transcripts and certificates for each completed level of study, including the grading scale. Grades are compared across countries, so the scale matters as much as the grades.
English test score
An IELTS, TOEFL, PTE or equivalent result. Check the section scores as well as the overall score: many programmes set a minimum for each section.
University fields
Some universities ask every applicant for extra answers or documents. The agency that owns the university adds these fields, and the file can’t be submitted until they are complete.
Optional additional documents
A CV, a statement of purpose and reference letters are optional on StudyInfo. Many programmes expect them, especially at postgraduate level, so add them whenever the student has them.
Before you send
- The student’s name is spelled the same way on every document
- Dates, grades and stamps are legible
- Documents not in English come with certified translations
- Test results will still be valid when the application is assessed
Requirements vary by programme and university. Each university’s owner agency keeps its programmes and application fields up to date, and our team checks every file before it is forwarded.
